Office Manager/Executive Assistant

OB TITLE: Office Manager/Executive Assistant
‎​‎​‎​An international and world class financial services company needs to fill the role of Office Manager/Executive Assistant.
Purpose of the job
The principal responsibility is to manage the function of the Lagos office and ensure the smooth running of the branch such to facilitate, create and enhance a work environment conducive to increased work performance.
Job requirement
As Office Management/Building Facilities
  • Monitor performance and billing from service providers
  • Review office insurance requirements on an ongoing basis and deal with any insurance claims as required
  • Liaise with Landlord and/or Building Management regarding any tenants’ responsibilities, attend relevant meetings and review and approve service charges.
  • Implement company’s security policies and follow procedures with regards to business continuity
  • Responsible for maintaining a presentable reception area and meeting rooms
As Executive Assistant
  • Provide executive level administrative support (prepare correspondence, interface with clients, assist with incoming telephone calls, copying, filing, faxing, scanning, mail etc.)
  • Schedule and co-ordinate internal and external meetings
  • Work with full-service corporate travel agent to co-ordinate executive travel
As Human Resources
  • Assist with integration of new hires and completion of new hire paperwork
  • Maintain HR files and send appropriate information, as necessary, to regional HR representative
Qualifications
  • Minimum of 4 years experience supporting senior level management
  • B.Sc degree preferred
  • Excellent Microsoft Office Skills (including Outlook, Word, and Excel)
  • Excellent communication skills – both verbal and written
  • Resourcefulness (especially online) in executing projects
  • Flexibility to work overtime as required
